Tasks, calendar and notifications

Tasks are the to-dos that keep a project moving. Nova collects every task, session and step assigned to you in one place, puts it on a calendar and tells you when something needs you.

How do I add a task?

You can add a task from several places:

  • In a project's List view, select + Add task.
  • On the Tasks page, select + Add task.
  • Inside a session, add a step of the type Tasks. People add tasks right in the step.
  • On the Calendar, select Add task.
  • On a board, add a Task Note, or open a sticky note's menu and select Convert To Task.

What can a task hold?

Select a task to open it in a side drawer.

The task drawer. Everything about the task sits in one place, including its comments.
  • A title and a Description.
  • A Checklist of smaller items.
  • Supporting files: attach a file or add a link.
  • Start date, Due date and Duration.
  • Priority: Low, Medium, High, Critical or Blocker.
  • Effort: points from 1 to 21, for planning workload.
  • Activity: comments from the people working on it.

The drawer also has Track time, Add to calendar, Copy link and Delete task.

How do I assign a task?

Open the assignees and select Add People and AI. You can pick team members, select Assign to me, or select Assign Nova AI to hand the task to the AI coworker. Each assignee gets an email, unless they turned that email off.

In a private project, you can only assign people who have access to that project.

Can a task follow its session's dates?

Yes. A task inside a session can use Date automation. Choose Match session dates, Starts when session starts or Ends when session ends. When the session moves, Nova moves the task with it. Select Clear automation to set the dates by hand again.

Can tasks repeat?

No. Tasks do not repeat on their own. For work that repeats, make the session recurring. Each new session brings its own steps and tasks. See Connect sessions into a workflow.

Where do I see everything assigned to me?

Three pages in the left menu show your own work across every project in the workspace:

PageWhat it showsFilters
TasksEvery task assigned to you. All, In progress, Due today, Due this week, Past due, Completed
SessionsEvery session you lead or take part in.The same, plus Leading and Collaborating
CalendarSessions, tasks and step tasks by date, with Overdue and In progress groups.Status, people and a date range

Select several items to Assign, Move, Copy or Delete them together.

Can I see Nova in Google Calendar or Outlook?

Yes. Open Connect calendar from the Calendar page, or from your profile under Calendar integration. Then choose a quick connect option:

Connect calendar gives your calendar app a private feed of your Nova sessions and tasks.

The connection is one way. Your calendar app reads your sessions and tasks from Nova. Events you add in your calendar app do not appear in Nova. Your calendar app decides how often it refreshes the feed.

Each workspace has its own feed. If you work in several workspaces, connect each one.

How does Nova tell me something needs me?

Open Mentions in the left menu. A small red bell shows next to it when you have something new. The panel lists:

  • Notes and comments where someone mentioned you with @.
  • Steps that are ready for you, because the step before yours is complete.
  • Questions from Nova AI while it works on a step.

In the session list, a bell in the updates column marks sessions with new updates. Select it to open the session.

Mention a group

Inside a session, type @here to mention everyone in the session, or @leaders to mention its session leaders.

How do I choose which emails I get?

Open your profile, then Preferences, then Notifications. You can turn each of these on or off:

  • Daily digest: a summary of what is past due, due today and starting today. Nova sends it on weekday mornings.
  • Session assignments: when someone adds you to a session.
  • Task & step assignments: when someone assigns you a task or a step.
  • Step completion notifications: when the step before yours is done and your step is ready.

You must confirm your email address before Nova can send these emails.

Emails for a single step

Session leaders can set emails for each step. Open the step's preferences, then the Notifications tab. Choose who gets the email and when, for example "Send email notification to Session leaders when somebody adds a note or participates on this step". Select Apply these preferences to all steps to use the same setting on the whole session.
