AI coworkers
An AI coworker takes on parts of your process the way a team member would. You assign it to a session or to single steps. It does the work when the work is due, and your team reviews what it produced.
What is an AI coworker?
AI coworkers are similar to AI agents. The difference is that they own parts of the process instead of only automating a task.
- An AI coworker knows which steps it owns.
- It responds to start dates and due dates, like the rest of your team.
- It knows which steps are for humans only, and it waits for them.
- Its work stays in your sessions, where your team can read, change and approve it.
Nova AI is the built-in AI coworker. It is available on every session. Custom AI coworkers with their own roles are coming soon.
How do I assign Nova AI?
You can give Nova AI a whole session or only some of its steps.
- For a whole session, open the session's people dialog and select Assign Nova AI.
- For one step or task, open its assignees, select Add People and AI, then pick Nova AI.
Nova then asks when the coworker should start:
| Option | What happens |
|---|---|
| Start now | Nova AI starts the work at once. |
| On start date | Nova AI starts when the session's start date arrives. |
| When previous sessions done | Nova AI starts after the sessions before this one are complete. |
| Manual | Nova AI waits until someone starts it. |
Why hasn't my AI coworker started?
AI coworkers in a new project are paused until you start them. This gives you time to set up the project first. The project's AI panel shows AI coworkers are paused. Select Start AI coworkers in this project when you are ready.
The session panel also tells you why a coworker is waiting:
- Waiting for manual start: someone must select Start.
- Waiting for the start date: the session has not started yet.
- Waiting for the previous session to complete: an earlier session is still open.
- Waiting on a human-only step: a person must finish a step first.
- Waiting for AI to be started in this project: start AI coworkers in the project's AI panel.
- Paused — AI usage limit reached: your workspace has used its AI credits for the week.
AI respects start and end dates
Automatic AI work only runs between a session's start and end dates. To run a step outside those dates, use Force on the step.
What can an AI coworker do?
- Write and update notes on the steps it owns.
- Pick options in multiple-choice steps and mark steps complete.
- Add and update sticky notes on a board.
- Create files, such as PDF, Word, Excel, PowerPoint, CSV, Markdown and HTML files.
- Search the web for information it needs.
- Read files attached to the session, including images, PDFs and Office documents.
- Ask you follow-up questions when it needs more information. You can answer or tell it to go ahead.
Some changes need your approval. For example, when Nova AI wants to move notes on a board, it shows a card with Approve move and Keep as is.
How do I give the AI the right context?
Write a clear Project overview. Nova AI reads it before it works on anything in the project. Describe the goal, the client or audience, and any rules the work must follow.
Nova AI also reads the earlier steps of the session, the files in it and the conclusions of connected sessions.
Can I control each step?
- Have AI complete this step runs the step now.
- Ask AI to do this step again gives two choices. Do this step again keeps what the AI already added. Clear AI work and do again starts fresh.
- Stop AI coworker stops the work in progress.
- Disable AI for this step makes the step human only. You can also set Human-only step in the step's preferences.
Does AI work cost anything?
AI work uses your workspace's AI credits. When the credits run out, AI coworkers pause and show Paused — AI usage limit reached. Credits refill every week. See Plans, billing and AI credits.
Can I turn AI off?
Yes. The workspace owner can turn AI off in their profile, in the AI usage & features section. When AI features are off, they are hidden for all workspace members.
