Organize work with spaces and projects

Spaces group your projects. A project holds one piece of work with a goal. Together they give your business a clear map: who is doing what, for which client or department.

How should I set up my spaces?

Make a space for each part of the business you manage. Most teams use one of these patterns:

  • By department: Marketing, Sales, Operations, People.
  • By service line: Bookkeeping, Payroll, Tax returns.
  • By client group: Active clients, Prospects, Past clients.

To add a space, click the add button next to Spaces in the left menu and type a name. Each space menu has Rename, Add to favorites and Delete.

The Spaces page. Each card shows the space's description. The Clients space calls its projects "clients".

Can I call projects something else?

Yes. Each space can use its own word for "project". Open the space settings and fill in Project Label, for example Client, Case or Campaign. Nova then uses that word everywhere in the space, such as + Add Client. Leave the field blank to use "Project".

In Space Settings you can also write a Description. It shows on the space's card on the Spaces page.

How do I create a project?

  1. Open a space and click + Add Project (or your own project label).
  2. Enter a Project name and the Goals for this project.
  3. Optional: choose a process under Start with a project template (optional). Nova then creates all of its sessions for you.
  4. Click Create project.

You can also add a project without a space. It goes to Projects without a space, and you can move it into a space later with Move to another space.

What is inside a project?

A project has a header with tabs. Each tab shows the same work in a different way.

A project in the list view. Sessions and tasks sit in one list with their owners, progress and dates.
TabWhat it shows
BoardAn infinite canvas with a card for each session. Use it to lay out the workflow and connect sessions.
ListAll sessions and tasks in one list, with filters, owners, dates and progress.
DashboardProgress charts for sessions, tasks and effort.
Decision logConclusions, wins, blockers and other updates from across the project.
PeopleThe project's leads and collaborators.
RitualsThe project's recurring sessions.
Files & linksFiles uploaded in the project's sessions, plus project files and links you add.

See Track progress and report for more about these tabs.

What is the project overview for?

The Project overview describes the project: the client, the goal, the constraints. Nova AI reads it before it works on anything in the project. A clear overview gives you better AI work. See AI coworkers.

How do I show the state of a project?

Set the project status from the status pill in the project header. The statuses are Draft On track At risk Off track Complete and Paused.

Can I keep a project private?

Yes, with Nova Pro. Use Set project as private. Members only see a private project when they are assigned to it. Owners, workspace managers and admins can see all private projects. See Team members and roles.

What happens when I delete a space or project?

Nova asks you to type "delete" to confirm. Deleting a space deletes all of its projects and their session data. Deleting a project deletes all of its sessions. You cannot undo a delete.

Before you delete

If you might run the same work again, save the project as a process first. See Save and share your own processes.
