Files and AI deliverables

Files live next to the work they belong to: in a note, a step, a task or the project itself. Every file in a project also shows up in one list. Nova AI can write documents too, such as a PDF report or a spreadsheet.

Where can I add files?

WhereHow
A noteDrag files onto the note editor, or use the paperclip.
A Files and links stepSelect Select file to share or drop here, or Add link.
An Image upload stepSelect Upload image.
A taskUnder Supporting files, select Attach file or Add link.
A boardAdd an image, video or file card from the board toolbar.
The projectOn the project's Files & links tab, select Upload file or Add link.

There are limits on file size and on how many files you add at once. Nova tells you when a file is too large.

Can collaborators upload files?

Yes, in a Files and links or Image upload step. The toggle Collaborators can upload is on by default. Turn it off when only your team should add files. Use this to collect documents from clients, such as receipts, contracts or photos.

Where do I find all the files in a project?

Open the project and go to Files & links. It lists files and links from every session, note, task and board in the project, plus files added to the project directly.

The project's Files & links tab. Each file shows where it came from and who added it. Tags help you sort them.
  • Search by name, or filter by tag.
  • Tag files, for example Deliverable, Approved or Important.
  • Select Go to note or Open task to jump to where a file was added.
  • Select Download CSV for a list of all files and links.

Which files can I preview?

Images and PDFs open in a preview. Other files, such as Word or Excel documents, download when you open them. Video links, such as YouTube, Loom or Google Drive videos, play from the list.

Do files come with a saved process?

Only files tagged Process asset. Nova copies them when you save the session or project as a process, and into every new project made from it. Use the tag for templates, checklists and guides your team reuses. Other files stay with the original project. See Save and share your own processes.

Can Nova AI write documents for me?

Yes. Nova AI can produce real files: PDF, Word, PowerPoint, Excel, CSV, Markdown, HTML and plain text. There are three ways.

1. A deliverable with a session conclusion

  1. In the session's conclusions, open Conclusion options next to Generate AI Conclusions.
  2. Choose a Deliverable file, for example PDF document or Word document (.docx).
  3. Optional: add Extra instructions (optional), such as "Focus on decisions and open questions".
  4. Select Generate conclusion. Review the draft and select Add conclusion.
A conclusion with a deliverable. The summary goes into the conclusion note, and the file is attached to it.

2. Files from AI coworkers

When Nova AI completes a step, it can add a file. In a Files and links step, the file appears in the step's list with Nova AI as the author. On a board, it appears as a file card. See AI coworkers.

3. Files from Nova AI chat

Ask the chat for a document, for example "Make a one-page PDF summary of this project for the client". Nova AI proposes where to put the file. It is added when you select Apply changes. See Nova AI chat.

AI files are drafts

Nova adds "DRAFT" to the name of every file Nova AI makes. Check the content before you send it to a client. Rename the file when it is final.

Can Nova AI read my files?

Yes. Nova AI reads images, PDFs, text files and Office documents (Word, Excel and PowerPoint) that are in the project or attached to your request. Files are information for Nova AI to use. Nova AI does not follow instructions written inside a file.
