Work with external collaborators

Collaborators are people outside your team, such as clients, partners, contractors or event attendees. You invite them to specific sessions. They take part in those sessions and see nothing else in your workspace. Collaborators were called guests in earlier versions of Nova.

How do I invite a collaborator to a session?

Open the session and select its people button. The Session Collaborators dialog opens with two tabs, Invite and Participants.

  • Copy the link under SHARE LINK and send it to the people you want to invite.
  • Or select Send invite via email.

The Participants tab lists the SESSION LEADERS and the COLLABORATORS.

Share a session link with collaborators. Team only turns all outside links off.

Can collaborators join without an account?

Yes, if your workspace has Nova Pro. Turn on Anonymous collaborators allowed? in the session's dialog. Send the same invite link. People can then log in, or select Enter as guest collaborator to take part without an account.

An anonymous collaborator can save their work later. They select Set up account and add an email and password.

Can I invite collaborators to a whole project?

Yes. Open the project's people dialog and use Invite collaborators to all sessions. Collaborators who join through this link get access to all sessions in the project. They do not get access to the project itself, such as its board, list or reports.

To take everyone out again, select Remove Collaborators.

What can collaborators see and do?

Collaborators
CanOpen the sessions they are invited to. Add notes, sticky notes, votes and answers to steps. Upload files where a step allows it. Mark their steps complete.
CannotChange steps or session settings. Add resources. See leader-only steps or leadership notes. Open the project board, other sessions or the rest of the workspace.

How do I keep some steps or answers private?

Open a step's preferences and choose its privacy:

  • Open for leaders & collaborators: everyone in the session sees the step and its notes.
  • Leader only step: collaborators do not see the step.
  • Collaborator responses private: each collaborator sees only their own notes. Leaders see all notes. Use this for surveys, feedback and approvals.

To make a whole session internal, turn on Team only. This turns off the collaborator and public links.

How do I check what collaborators will see?

Select View as collaborator in the session. The session shows only what a collaborator sees. Select it again to go back to the leader view.

What do collaborators see when they log in?

Collaborators land on the Guest Agenda. It lists every session they were invited to, with filters such as Due Today, In Progress and Completed.

The Guest Agenda shows a collaborator only the sessions they were invited to.

Your team's description and image appear on this page. Set them in your profile's team settings.

Are there limits?

  • Each session has a maximum number of people. Nova tells you when a session is full.
  • Collaborators do not take a seat on your plan.

Can a collaborator create their own work in Nova?

Yes. A collaborator who wants to run their own sessions can create their own workspace. In your workspace they see Go to your workspace, which takes them there.
